Getting set up

How do I set up my store?

Everything lives under Settings: your locations, the tax mode for your country, the receipt logo and terms, and your cash registers. It is about half an hour once, and then you barely touch it again.

How does tax work if my country includes it in the price?

You set the mode per store. In the United States tax is added on top; in Australia and other countries it is already inside the price shown. Pick the right one and the receipt comes out correct without you doing any math.

Can I run more than one store?

Yes. Each location keeps its own stock, its own registers and its own numbers, and you switch between them from the top of the screen. Reports can look at one store or at all of them together.

Is my data separate from other shops?

Completely. Every record belongs to your business and queries are filtered by it at the database level, not just hidden in the screen. Another shop cannot reach your customers, your prices or your numbers.

Money and employees

How do I load my monthly fixed costs — rent, power, internet?

In Settings › Fixed costs, per store, one line per expense. The system spreads them across the days on its own, so your profit is what is left after the shop has paid for itself.

How do I set an employee’s wage?

Set the hourly rate on the employee. From there the clock records their hours, the schedule says when they were supposed to be in, and payroll adds it up for the period.

How are employee hours calculated?

They clock in and out from the system — that is the record. You approve time off, the schedule catches who came in late, and payroll turns hours times rate into what you owe.

Can I stop an employee from seeing my profit?

Yes. Start from their role and then adjust the specifics — who can manage inventory, who can handle expenses, who sees reports. Everything sensitive is recorded with who did it.

My profit looks higher than it really is. Why?

Almost always because a repair has a price but no cost. If the part was not hooked from inventory and no cost was typed, the system counts the whole price as profit. The POS warns you at collection time when this happens.

Day to day

How do I find a customer or a repair?

Press Ctrl + K (⌘ + K on Mac) from any screen and type a name, a phone, the ticket number or the IMEI. You can also scan the printed ticket or the device.

How do I put the cost of the part on a repair?

The reliable way is to hook the part from your inventory — the cost transfers on its own and the piece leaves stock at the same time. If you bought it just for that job, use Edit cost on the line.

A problem showed up after opening the device. What do I do?

Use Extra cost / Approval: document it with photos and send it to the customer over WhatsApp. They accept or decline, and either way you have it in writing before you keep working.

Does the customer have to give me their name for a $5 sale?

That is your call, per store. You can require a customer on every ticket — good for history and marketing — or allow a Walk-in so the line does not stop for a cable.

How do I close the day?

Close the register against the real drawer: the system shows what it expected by payment method and you enter what is actually there. The difference is the number worth looking at.

What are all the ways product gets into inventory?

Seven: one by one, in bulk, from a MobileSentrix order, from any distributor’s invoice file, from used phones you buy, from refurb lots, and by adjusting after a count.

Can I just upload the distributor’s invoice?

How do I stop running out of the screens I sell most?

Set a minimum per part type, then override the specific models you move a lot. The system compares it against your stock and builds the list of what to order.

How do I handle OLED and Incell for the same model?

As two different products, because they are. The quality subtype keeps them apart so you can price them differently and never sell an OLED at Incell price by accident.

How do I register a phone I bought from a customer?

As a used purchase, with the seller on record, what you paid, and a grade. Then you decide: resell it, or part it out — often the parts are worth more than the phone.
